Directors: Save on Hotel Costs

If you are attending the NRHC Annual Conference in March, you may be able to save the tax on your Hotel Roomsif you are a “Non-Profit” institution. Not all of our members are non-profits – so keep that in mind, but most are! The tax savings can be quite substantial! For example, the CT Occupancy Tax rate is 15%. If you have 5 rooms for 3 nights, your cost to the hotel will be $199 x 15 room nights ~ $3,000. 15% savings for tax would be worth $450. The NRHC is contracted for around 550 room nights (in our NRHC contract with the hotel). If each school filled out and submitted this form, that would save a collective ~$16,000 in tax for our member institutions. So, if your institution is a non-profit, read on for further information and the necessary form.

Below you will find links to two forms: the first is a sample completed application for tax exemption status, the other is the blank form for you to complete and send in. The form is simple, taking just a few minutes to complete. It may, however, take you a day or two to get a signature from someone in your finance/budget office – page 2 indicates it must be an “officer” and that the signature must NOT be an electronic signature. Page 3 has the e-mail address for where you should send the completed form (copied here): DRS.Coordinator@ct.gov The individual I spoke with there does these all the time and was very helpful. Andrea’s phone number at the CT Department of Revenue is (860) 541-7612.

The NRHC can be/is tax exempt for the Food and Beverage at the conference, but we cannot use the NRHC for each school’s Hotel Rooms – which is why you’ll need to fill it out and e-mail it to the CT Dept. of Revenue.

I have highlighted an example CERT-112 form that uses the NRHC’s information. You will need to fill this out for your institution. I highlighted some of the key areas to pay attention to. You need your school’s Tax ID Number, you should select “Lodging” only, note the dates, and then in Column’s A, B, and C:

  • A Column: should be just the number of rooms “each night” you will be using (not “total room nights”).

  • B Column: should be the same Number as A.

  • C Column: should be 0.

Finally, below columns A, B, and C -- in 1 –- No should be checked, 2 and 3 should have Yes checked.

Good luck! An email with this information has been sent to all honors professionals registered for NRHC Conference; please be sure only one representative from your institution works on this!

If you have questions, you may reply to this email and we will route as needed! One of our board members completed the application and received the tax exempt certification just a few hours after having submitted. Hopefully it will be similarly easy for you!

All the best,

Mike Tasto (NRHC treasurer) & the NRHC Executive Board
